Executive Committee Meeting – Friday, October 21, 2005

President Simecek called the meeting to order at 7:05 p.m.

Treasurer’s Report

Treasurer Barb Jones gave the Treasurer’s update and discussed the Neighborhood Matching Grants - 2006 Application.  This year the City has changed the way they handle the Grants.  The City wants to reimburse us as expenses are incurred rather than deliver the Grant dollars upfront.  The volunteer hours log form is different this year and no signatures are needed.  The form includes volunteer hours, money out-of-pocket and donated goods – to equal or exceed the grant amount.

 

Volunteer hours incurred by the SRH/BT NA include N.A. Picnic hours (includes soliciting prizes), MOU meetings, 85th Street meetings, and the Equestrian Overlay Board.  Volunteer hours are valued at $15/hour.  The application needs to be in by the end of November.

Due to the Grant dollars being approved by Council in January but not released to the NAs until the end of March each year, the SRH/BT NA has been effectively operation on a fiscal year (April to March) instead of a calendar year.  This has led to the encumbered amount shown above.

 

The encumbered funds will spent on the website, the mailbox, and what mailing needs to be done in December for the January meeting.  A discussion was held to come up with ideas to save money on future mailings.  We were, once again, going to look into a bulk mail permit in hopes of doing the mailings ourselves.  Due to the lack of funds, there will not be a mailing for the upcoming January meeting.  We will do a mass email to our members, but will mail flyers to those with no email address.
